Site Administrator
Role Overview
The Site Administrator is responsible for providing administrative support to the site management team, ensuring the smooth day-to-day running of the project. The role involves maintaining site records, managing documentation, coordinating meetings, and supporting compliance and operational activities on site.
Key Responsibilities
Provide administrative support to the Project Manager and wider site team.
Manage all site documentation, ensuring records are accurate, up to date, and correctly filed.
Maintain document control systems and distribute project documentation as required.
Record and track site correspondence, drawings, RFIs, submittals, and project registers.
Organise and minute site meetings, distributing actions and maintaining records.
Coordinate site inductions and maintain training, competency, and attendance records.
Manage timesheets, absenteeism records, and workforce documentation.
Assist with onboarding of new employees, subcontractors, and visitors.
Monitor office supplies and site welfare requirements, arranging orders when necessary.
Support health and safety administration, including maintaining site compliance records and permits.
Prepare reports, presentations, and project updates for the management team.
Liaise with head office departments including HR, Payroll, Plant, Accounts, and Procurement.
Handle incoming calls, emails, and general site enquiries efficiently and professionally.
Skills & Experience
Previous experience in a Site Administrator, Project Administrator, or similar administrative role within construction is desirable.
Strong organisational and document management skills.
Excellent attention to detail and accuracy.
Proficient in Microsoft Office Suite, particularly Word, Excel, Outlook, and Teams.
Experience using document control systems would be advantageous.
Strong communication and interpersonal skills.
Ability to prioritise workload and work effectively in a fast-paced site environment.
Professional and proactive approach with a strong customer service mindset.
Qualifications
Third-level qualification in Business Administration, Office Administration, or a related discipline is desirable.
Relevant administrative experience within the construction industry may be considered in lieu of formal qualifications.
